Job Description

Receptionist / Administrative Assistant
Permanent, Full time (8.30 a.m. to 4.30 p.m.) some flexibility required

Experience Required. An existing knowledge of Health & Safety / Training is preferable.

Key Responsibilities:

1. Reception Duties
• Meeting & Greeting. Meeting and greeting visitors and students. Ensuring students sign in and
registers are completed and communicated back to the main office. Answering of inbound
telephone calls.
• Housekeeping. Ensuring that refreshments are in place for the arrival of visitors and for
training courses to commence. Ensuring Training Suites are presentable to clients at all times.
Liaising with external cleaners to ensure that all other housekeeping standards are met.

2. Administrative Duties
• Support. Assisting the Customer Services and Business Development Departments with
ongoing enquiries by providing or processing information in a timely manner. Supporting the
training department with courses delivered on site.
• Data Input. You will be adequately trained to use the company’s CRM system used to record,
process and report information relating to sales enquiries, courses and client aftercare. You
will be responsible for ensuring that all data is entered in a timely and accurate fashion.
• Course Documentation. You may, from time to time, be asked to facilitate with the collation of
and checking of supporting course documentation and training materials for training
programmes run on site.

The Conduct of Employment Agencies and Employment Businesses Regulations 2003, require us to keep work-seeker records for at least one year from the date of their creation or after the date on which we last provide work-finding services. Where applicable, we must also keep payroll records, holiday pay, sick pay and pensions auto-enrolment records for as long as is legally required by HMRC and associated national minimum wage, social security and tax legislation.
As an individual, you have several rights in respect to the processing of your personal data, all of which can be reviewed on our website.
