Receptionist
Cardiff
8:45 – 5:15 Monday to Thursday and 8:45 -5:00 Friday
£18,000 D.O.E

Role Purpose:
To welcome visitors to the office, act as first point of contact for any client or visitor queries, whilst providing friendly, efficient service and creating a warm and welcoming atmosphere for all of our visitors.

Responsibilities:
• Meeting & greeting visitors
• Providing visitors with refreshments
• Dealing with all enquiries in a professional and courteous manner, in person, on the telephone or via e-mail
• Dealing with in-bound & outgoing post
• Organising couriers / parcel collections
• Overseeing car parking arrangements
• Liaising with cleaning team
• General administrative duties (typing, photocopying etc)
• Answering calls and taking messages
• Screening phone calls
• Keeping the reception area & adjacent meeting rooms tidy
• Looking after the 'visitor' book
• Receipt of courier parcels
• Preparation of meeting rooms for internal and external meetings
• Arranging buffet lunches
• General office errands
• Maintaining & ordering of stock for staff refreshments
• Assisting other departments with general admin when required
• Monitor and control booking for portable computers
• Monitor and control bookings for meeting rooms
• Update the telephone system and phone lists
• Assist with Health & Safety work as required, to include regular testing of fire alarms and emergency lighting
• Assisting with office evacuation in the event of an emergency, acting as first point of contact for guests and the emergency services

Essential Requirements:
• GCSEs (or equivalent) in English & Maths
• A proficient user of Microsoft Office
• Experience of dealing with customers or clients
• Strong interpersonal and communication skills (both written and verbal)
• Good organisational skills demonstrating efficiency
• Strong attention to detail & accuracy
• The ability to manage own workload and prioritise to meet deadlines
• Able to act on own initiative & be able to work unsupervised
• Able to work on own and as part of a team
• Able to deal with people regardless of their position
• Flexible approach, and able to change in line with business needs
• An outgoing, helpful personality
• Act with integrity and respect confidential information
• The ability to stay calm under pressure

Desirable Requirements:
• Familiarity with an Accountancy Practice
• Experience of working in a professional organisation or commercial environment
• Excellent numerical skills
• Hold a full & clean driving license with daily access to a car
