Job Description

Administrative Assistant
Initially on a temporary basis for 1 month/Part-time 3 days per week
£9.98 per hour
Welsh speaking is desirable but not essential

Our client is looking for someone to assist the Head of Service, Manager and Officers with a wide range of functions to ensure that candidates receive accurate and timely results and that centres and other stakeholders receive excellent customer support.

• Making arrangements for moderators
• Co-ordinating certificates
• Processing results
• Analysing data and preparing reports
• Developing guidance and instructions for centres
• Development and maintenance of specific databases.
• To answer queries from centres and other stakeholders professionally, providing them with accurate information and, when necessary, referring them the appropriate person.
• To prepare, collate and check information
• To access and utilise information, input and access data using internal IT systems and Microsoft Office software.
• To organise the despatch of materials, certificates and stationery to centres
• To update series delivery documentation
• To maintain records and databases
• To maintain stationery supplies and organise the disposal of confidential waste for the section
• To prepare and format documents together with photocopying, scanning and faxing documentation
• To ensure documentation is filed and retained correctly and accurately in accordance with company procedures.
• To set high standards in complying with all internal policies and procedures and legislation including Health and Safety, Safeguarding and Equalities.

Highly desirable criteria:
• Good written and verbal communication skills
• Ability to work in an organised and accurate way
• Ability to work as part of a team
• Good level of ICT skills and the ability to apply these skills
• Ability to work to deadlines
• Ability to pay attention to detail
• Experience of working within a customer focused environment
• Experience of answering queries from internal and external stakeholders
• Experience of completing work in order to meet critical deadlines
• 5 GCSE’s including English and Maths, or equivalent qualifications or demonstrable experience for the role
