About the Role
St David Recruitment is working on behalf of a well-established architectural practice based in Cardiff to recruit a Finance & Operations Assistant. This is a varied and responsible role, providing essential financial, operational, administrative, and business support to the Director and wider team.
The successful candidate will play a key role in ensuring the smooth day-to-day running of the business, maintaining accurate financial records, coordinating office operations, and supporting the company’s ongoing development. Working within a small, friendly team, this position would suit an organised, reliable, and proactive individual who is comfortable working independently and managing a varied workload.
Key Responsibilities
Finance & Accounts
- Manage day-to-day accounting using Xero and maintain accurate financial records.
- Prepare financial reports, Excel spreadsheets, and cash flow forecasts.
- Manage invoicing, purchase orders, payment processes, and client account systems.
- Oversee business leases and company vehicle-related payments and insurance.
- Assist with payroll administration and sickness absence records.
- Liaise with the external accountant to provide information for accounts and payroll.
- Update project management software with relevant financial information.
Operations & Administration
- Coordinate company insurance policies and assist with ISO compliance.
- Maintain CPD, training, and learning and development records.
- Liaise with external HR providers regarding health, safety, and company policies.
- Monitor emails and shared inboxes, draft meeting notes, and proofread documents.
- Assist with bid coordination and tender submissions.
- Coordinate office supplies, meeting rooms, telephone calls, and general office administration.
- Liaise with colleagues, clients, consultants, and business partners to support efficient operations.
Marketing & Business Development
- Review the company’s marketing plan and provide feedback and suggestions.
- Support initiatives to attract new clients, develop new sectors, and retain existing clients.
- Contribute ideas to improve marketing activities and business development opportunities.
Professional Development
- Undertake relevant training and continuing professional development (CPD).
- Support the identification of training needs and ongoing staff development.
Person Specification
The ideal candidate will be organised, trustworthy, proactive, and detail-oriented, with the ability to manage a varied workload independently.
You will have:
- Strong organisational, administrative, and numerical skills.
- Experience with Xero, Microsoft Excel, and financial administration.
- Excellent communication and interpersonal skills.
